Before your group's language briefing
Ask what helps people take part, then confirm the plan.
Knowing everyone's Korean level is not enough. A participant may also need a different material format or a different way to join a practice activity.
Separate language level from access needs
A beginner may be comfortable speaking aloud; an experienced learner may need a different participation format. Use the mixed-level group plan for language goals. Use this request to discuss how people can access the session.
W3C's event guidance recommends asking about accessibility needs, planning accessible materials and allowing time to process information. It also covers captioning and describing visual content. These are planning considerations, not a claim that a particular service is already available. Read the W3C event checklist.
Write one practical request
- Name the activity: Reading a prompt, hearing a demonstration, following a shared screen, or taking a speaking turn.
- Describe the support: State what would help with that activity. Do not assume the same arrangement works for everyone.
- Give the timing: Include the session date and the date you need an answer, with the time zone where relevant.
- Choose a private reply route: Ask the participant what can be shared and with whom. Keep diagnoses, medical records and personal explanations out of the group planning sheet.
- Ask for confirmation: Request a clear answer about what is possible, who will arrange it and any agreed alternative or cost.
A message you can adapt
Original example request: "For our online Korean briefing on [date and time zone], could the practice prompts be provided as selectable text by [date]? We would like to check that participants can use the file before the session. Please confirm the format and delivery date, or suggest another workable option. Reply privately to [organizer]. Please flag any change to the scope or fee before we agree."
This asks a question; it does not book the service or promise a solution. Replace the bracketed fields and describe the actual need with the participant's agreement. Do not send a list of people's health information.
Keep a confirmation log, not a medical register
For each request, record just these fields: activity / requested support / responsible person / confirmed or pending / agreed alternative / next check date. Keep it restricted to the people arranging the session.
Fictional entry: "Practice prompts / selectable-text version in advance / organizer to ask teacher / pending / none agreed / check again three days before session." Do not change "pending" to "confirmed" just because an email was sent.
If an arrangement is unavailable, discuss alternatives with the participant instead of deciding for them or quietly removing their turn. Venue access, platform setup and specialist support may have different owners. Confirm those responsibilities with the organizer; a language teacher is not automatically responsible for the whole trip.
